The successful candidate has impeccable organization, strong communication skills, and previous experience working in a fast-paced environment. This is a part-time position (30 hours) located in our San Diego THINC headquarters.Responsibilities:Administrative Support: Provide general administrative support, manage complex and busy calendars and organize domestic and international travel arrangements, among other tasks.Coordinate Meetings and Events: Provide meeting support, arrange logistics for internal and external meetings, host guests, book venues and secure catering.Office Operations: Prioritize and manage tasks – maintain and order office supplies, oversee equipment maintenance, and ensure a clean and organized environment. Handle incoming mail and outgoing packages. Ensure efficient systems and processes are in place.HR Functions: Support the onboarding of new office employees, including setting up building and office access.Record Keeping: Prepare, maintain, and review documents, including binders, files, and essential documents.Expense and Invoice Management: Maintain budgets, track expenses, and process invoices in collaboration with finance personnel.Device Shipping and Receiving: Manage the packaging and distribution of devices and maintain accurate records of all inventory and shipment details.Time Management: Prioritize and resolve conflicting needs with little to no guidance. Anticipate team needs.Requirements:High school diploma, Bachelor’s degree preferred8 – 10 years + experience in a professional services environment, previous administrative and clerical experience highly preferredProficiency in Microsoft OfficeExcellent written and verbal communication skillsProfessional presentation with strong interpersonal skillsStrong organizational skills with the ability to multi-task and prioritize without guidanceThe ability to work well under pressure in a fast-paced environment, switch gears and adapt to changes as priorities pivotHigh customer service orientation and professional phone mannerTechnology savvy with the ability to learn new tools quicklyGreat attention to detailBase PayExpected Base Pay Range: $30.00 HourlyThe base pay range included is a projected hiring range for a position, level and potential work location(s) listed. Topcon provides the compensation range that it in good faith believes it might pay and/or offer for this position.
